Privacy Policy


  1. The Importance of User’s Privacy
  2. Due to the importance and privacy of users’ data collected and processed on and through AXN (“AXN”), AXN’s administration (“Administration”) aims to provide and guarantee the best levels of service and protection. Therefore, it seeks to maintain the privacy and confidentiality of all data entered by AXN users (the “User” or “Users”) as it represents the basis of this Privacy Policy. The Administration will not disclose such data nor allow access thereto except for as stipulated in this policy, with limiting such disclosure or access to the authorized personnel only. All terminology used in this policy is defined in the Terms of Use.

  3. Data Usage
  4. User’s data will be collected, processed, and used for the following purposes:

    • Enabling the Administration to provide, manage and enhance the services provided through the AXN. These services include – but are not limited to – the followin g: medical data quality engine, chronic disease detection, terminology engine, brain tumor detection, diabetic retinopathy detection, DRG grouper.
    • Open communication channels with the AXN’s Users, interact with them and facilitate their communications and interactions with each other.
    • Personalizing User’s experience.
    • Marketing certain goods and products through contacting the Users via registered contact information. After obtaining the consent of the user for the purpose of marketing
    • Update the User about any goods, services or events provided by the Administration, its partners, or any other 3rd party
    • Research and development purposes, conducting surveys (completion of these surveys will always be optional)
    • Monitoring and flagging any breach to this Policy or the AXN’s Terms of Use, or any case of misuse.
    • Archiving User’s data and using them for future communication.
    • Maintaining and enhancing the performance and security of AXN, and the Administration’s programs, systems, and networks.
    • Authenticate the User’s identity when registering on a service provided through AXN.
    • Manage AXN, and its internal operations, including – but not limited to – troubleshooting, data analysis, testing and surveying.
    • To process financial transactions, and all relevant operations – if applicable -.
    • Using User’s Data within cumulative statistical data and indicators after masking such data and ensuring that it is non- identifying.
    • Any use described throughout this Policy, or further consented by the User.
  5. Data Collection
    • The Administration will be collecting and processing the User’s data entered for the purpose of registering and using AXN, or that the User provides for that purpose to the Administration through phone calls or E- mails. These Data include – but are not limited to – the followin g.
      • Personal Identification Data , including User’s full name, National ID or Iqama number, date of birth, Nationality, and Gender.
      • Contact Information, including address, phone number or E-mail.
      • Entity’s Information, including name, activities, country, website.
      • Data incorporated in the documents uploaded by the User through AXN – but are not limited to – disease diagnosis, medications and medical services, which is required to provide the Services.
    • When using AXN, the Administration automatically collects some information through cookies, such as Tech-related information; including User’s IP address used to link its device to the Internet, its registration information, the browser’s name and version, time-zone, or other information related to the User’s visit or usage of AXN
  6. How Data is Collected
    • The Administration will collect the User’s data through requesting it to fill some forms or by contacting it directly via approved communication channels.
    • The Administration uses cookies and similar technologies in a range of ways to collect some data and improve the User’s experience in using AXN. Such use is summarized in the following.
      • By simply visiting AXN, the host server will register User’s Internet Protocol (IP) address and the date of visit as well as the Uniform Resource Locator (URL) of any website that redirects the User to AXN. The Administration will also collect all the device’s information that will enable the improvement of the User’s experience such as, but not limited to, the device’s language and the type of operating system.
      • As common practice, and when visited, most websites will download a small file on the hard disk of the visitor’s device. That file is called “Cookie”. Cookies are text files that contain information that allows the website to retrieve information when needed the next time the same User visits the website, information can be for example, the webpage settings - if applicable - on the portal and the color schemes the User has selected. The Administration will use the information found in the Cookie files for specific purposes when the User visits the website more than once as well as change the information within the cookie files or adding new information every time the User visits it.
  7. Data Retention
    • User’s data will be stored for as long as it is necessary for the purposes for which it was collected, and for satisfying any legal, regulatory, financial, or reporting requirements. This length of time may vary depending on relevant circumstances, however, in all cases, the Administration is obligated to destroy all data that leads to identification of its owner, immediately after fulfilling the purpose it was originally collected for.
    • The Administration will retain any non- identifying data for the sole purpose of developing and improving the experience of using AXN, as per mentioned in (Data Usage).
    • The data retention period is regularly reviewed to ensure that User’s data is not stored for longer than necessary.
  8. Data Protection
  9. The Administration is committed to protecting personal and user data in accordance with accepted standards by implementing a set of security techniques, procedures, and organizational, administrative, and technical requirements to secure such data from unauthorized access, use, alteration and destruction through encryption protocols and software in a private server. The security measures are designed to prevent unauthorized access, improper use or disclosure, unauthorized modification or unlawful destruction or accidental loss. In addition, access to User’s data is limited to employees, agents, contractors and other third parties who have a business need to know. They will only process User’s Data on the Administration’s instructions, and they are subject to a duty of confidentiality.

  10. Children's privacy
  11. AXN is not intended for use by individuals under the age of 18 ("child" or "children"), we do not intentionally or directly collect personal data from children, and if the administration wants to collect personal data on children, the data will be collected and approved by the parents or legal guardians.

  12. Disclosure
  13. We will maintain the privacy and confidentiality of all personal data we obtain at all times, and such information will not be disclosed unless required by law or when we believe in good faith that such action is required or desirable to comply with the law, or to defend or protect the or its beneficiaries' rights.

    • Disclosure to Third Parties:
    • The Administration will protect the privacy of User’s data and shall not disclose or share any of the User’s data to third parties, except for the following cases.

      • Disclosure to a government entity, if that disclosure is in accordance with the applicable laws and regulations implemented in the Kingdom of Saudi Arabia, or any order issued by the competent authorities therein.
      • In the event the Administration resorts to external parties who are proven to be trusted and reputable establishments, and who shall adhere to the standards of confidentiality that are upheld by the Administration.
      • Disclosure to competent government authorities that are related to the electronic services that are requested by the User, as well as disclosure to non- government entities that are authorized by the government entities to receive, solve, transfer, or pass government service requests or to provide services whenever completion of the services requires observing or storing or processing User’s data by any entity government.
      • Using User’s data within cumulative statistical data and indicators and sharing them with relevant authorities according to what the Administration deems appropriate, after masking the data and ensuring that it is non-identifying.
      • Disclosure to other parties subject to User’s consent.
    • Disclosure to Entities Abroad:
    • The Administration will not disclose or process any of the User’s data outside the Kingdom of Saudi Arabia unless has obtained necessary approvals whether the User’s explicit consent or the approval of the relevant authorities. Such disclosure or processing will be done in case of necessity or to achieve the purposes for which User’s data was collected and processed at the first place.

  14. Use of External Links
  15. AXN may contain links to third parties’ sites or services, which may be subject to separate privacy policies. Kindly note that such links are out of the Administration’s control, and the Administration is not responsible for any of its policies. Reviewing those link’s policies is within the User’s responsibility.

  16. User’s Rights
    • With consideration the (Data Retention) clause above, the User may – at any time - request any of the following:
      • Access and obtain a copy of its Data free-of-charge.
      • Knowing the purpose and statutory reason for collecting and using the personal information.
      • Correct, complete, or update its Data.
      • Have its account deactivated, unless there was a legal justification to maintain it, or whenever the data was linked to a case that is looked before a judicial authority; and
      • Withdraw its consent at any time where consent has been provided expressively unless there is a preventing legal justification.
    • If the User wishes to make any requests as specified above, it may contact: [[email protected]]. Please note that the Administration may require additional data to respond to the User’s request or to confirm its identity.
  17. User’s Responsibility for Privacy Protection
    • For the Administration to help the User protect its data, the Administration recommends the following:
      • Call the Administration immediately when there is doubt as to someone having access to any of the User’s data or log into User’s account.
      • Not to share User’s data through phone or the internet to any person or entity unless such recipient is identified.
      • Use a secure web browser when conducting transactions through the internet and close unused applications and to be sure to use a virus protection program that is periodically updated.
      • Update the contact information used for verification on AXN in the event of such information is replaced.
    • The User guarantees that all data entered for the purpose of registering and using AXN are valid, and that the User is of legal authority and capacity to use such data.
  18. Policy Update
  19. The Administration reserves the right to amend this Privacy Policy, and it shall notify the User to obtain User’s acceptance on such amendment. The User’s account may be subject to suspension or cancellation in case the User refuses to accept the new version on this Privacy Policy.
